1:1 meeting notes template

A one-on-one is the only meeting where the agenda belongs to the person who reports, not the manager. The notes have one job: make sure what was agreed last time is checked this time. This template starts with that check.
The template
Copy it into any editor that understands Markdown. The headings and the table come through as they are.

What each part is for
Agenda
The report adds topics first, the manager second. If the report has nothing, ask why. That is a topic too.
Since last time
Every agreement from the last 1:1, with done or not yet. This is what makes 1:1s worth having.
Feedback
Both directions, in separate lines. Feedback to the manager is the part people forget to write.
Goals and growth
Skills, projects, the next step in the role. Not this week’s tasks.
Concerns
What worried either side, and how it was received. "Raised; manager will check workload" is enough.
Agreements
Small, concrete, with a name and a date. They become next time’s "Since last time".
Keep personal matters factual and brief. A 1:1 note may be read later by someone else, and it should be fair to the person it is about.
How to fill it in five minutes
- 1Before: Copy the agreements from last time into "Since last time". Both people add agenda topics.
- 2During: Write one line per topic: what was said, what was agreed. Skip the small talk.
- 3Feedback both ways: Ask the report for one piece of feedback for you, and write it down in their words.
- 4After: Share the notes with the report the same day and ask: "Is this what we agreed?"

Let it fill itself
This is the same shape Trippi Notes uses for its One-on-one summary. Trippi Notes listens to the meeting tab in Chrome — Google Meet, Zoom in the browser or Microsoft Teams in the browser — after one click on its icon, and writes the transcript with speaker names and times. After the call you pick the One-on-one template and build the summary with one click. The template tells it to look for feedback in both directions, goals and growth, concerns and how they were received, and agreements on support or changes. The result comes back in the usual parts — overview, decisions, tasks with owners, open questions — in your language, even if the call was in another one.
From there you copy it into this layout, export it as Markdown or plain text, or ask a question about the meeting and get quotes that jump to the moment. Open tasks stay in one action items list across meetings, so last time’s agreements are there when the next one starts.
Summary templates other than the general one, and your own request, are part of the paid plans. It only hears calls in the browser, not desktop apps or phones. Nothing joins the call, so nobody sees a bot in the list of people. Tell them you are taking notes anyway — how to ask.

Who owns the 1:1 agenda?+
The person who reports. The manager adds topics after them.
How long should 1:1 notes be?+
Half a page. If it is longer, it is probably a status update, and that belongs in a different meeting.
Should the report see the notes?+
Yes. Shared notes stop the "that is not what I said" problem. Keep private thoughts out of the shared page.
How often should a 1:1 happen?+
Weekly or every two weeks is common. What matters more is that it is not the first meeting cancelled when the week is busy.
