Client meeting notes template
Trippi Notes team · facts checked on 2026-10-01
In a client meeting, the most expensive thing to forget is something you promised. This template keeps the promises in their own block, ours apart from theirs, so nothing said in passing gets lost.
The template
Copy it into any editor that understands Markdown. The headings and the table come through as they are.
# Client meeting — [client] — [date] **Client side:** **Our side:** **Project:** ## What the client wants now - ## Updates since last meeting - ## Decisions - ## We promised | What | Who | By when | |------|-----|---------| | | | | ## The client promised | What | Who | By when | |------|-----|---------| | | | | ## Open questions - [question] — [who will find out] ## Next contact [date] — [how] — [goal]
For Word or Google Docs
The same template as plain text. Paste it into a new document, then turn the first line and the section names into headings if you like. There is no file to download: you paste it, and it is yours.
CLIENT MEETING — [CLIENT] — [DATE] Client side: Our side: Project: What the client wants now - Updates since last meeting - Decisions - We promised What — Who — By when - The client promised What — Who — By when - Open questions - [question] — [who will find out] Next contact [date] — [how] — [goal]
What each part is for
What the client wants now
Their goal today, in their words. It changes more often than the contract does.
Updates
What happened since last time, on both sides. Short.
Decisions
What was agreed in the meeting, including "no" answers.
We promised
Every promise from your side, even small ones: "I will check and get back to you." These are what clients remember.
The client promised
Files, approvals, access. When work stops, this list shows why.
Next contact
Date, channel and goal. It makes the next meeting shorter.
Split promises are the whole point. A single "action items" list mixes them up, and then nobody knows whose turn it is.
How to fill it in five minutes
- 1Before: Copy open items from the last meeting into both promise tables.
- 2During: Every time someone on your side says "I will", write it in "We promised" with their name.
- 3Read it back: In the last two minutes, read both promise lists out loud. Clients correct dates here.
- 4After: Send the client the decisions and both promise tables the same day, in a short follow-up email.
A filled example

Client side: Eva (practice manager) · Our side: Kenji, Ana · Project: booking site

We promised

The client promised
New staff photos — Eva — 13 Oct
Open questions
- Can patients cancel online? — Eva asks the dentists
Next contact: 15 Oct — video call — review phase 2 scope

Trippi Notes listens to the meeting tab in Chrome — Google Meet, Zoom in the browser or Microsoft Teams in the browser — after one click on its icon, and writes the transcript with speaker names and times. It has no built-in client meeting template. What it has is a box for your own request, up to 1,000 characters, that tells the summary what to look for. Paste this:
This was a client meeting. Separate what our side promised from what the client promised, each with the person and the date if one was said. Note what the client wants now, in their words. Decisions include things the client said no to. Open questions are things nobody could answer yet.
The summary still comes back in its usual parts — overview, decisions, tasks with owners, open questions — so you move them into the template above, or export Markdown or plain text and edit there.
Summary templates other than the general one, and your own request, are part of the paid plans. It only hears calls in the browser, not desktop apps or phones. Nothing joins the call, so nobody sees a bot in the list of people. Tell them you are taking notes anyway — how to ask.
FAQ
Asked about this.
What should client meeting notes include?+
The client’s current goal, decisions, your promises, their promises, open questions and the next contact.
Should I share my notes with the client?+
Share the decisions and both promise lists. Keep internal comments out of the shared version.
How is this different from meeting minutes?+
Minutes have one action list. Here the promises are split by side, because in client work who owes what matters more than what was discussed.
When should I send the recap?+
The same day. A recap sent days later reads like a correction.
