Sales call notes template

Trippi Notes team · facts checked on 2026-10-01

Sales notes are for the next call, and for the colleague who takes over the account. They should answer one question fast: what stands between this customer and a yes? This template puts the customer first and the next step last, with a date.

The template

Copy it into any editor that understands Markdown. The headings and the table come through as they are.

The same template as plain text. Paste it into a new document, then turn the first line and the section names into headings if you like. There is no file to download: you paste it, and it is yours.

What each part is for

Needs and pain

In the customer’s words. "Month-end close takes four days" is useful later; "needs efficiency" is not.

Objections

Each one with the answer you gave, and whether it landed. An objection you did not answer is still open.

Budget, decision makers, timeline

Only what was actually said. An empty line is information: you did not ask.

Competitors named

Names they mentioned and what they liked. Do not guess.

Commitments

What each side promised. Your promises go in the follow-up email.

Next step

One action, one name, one date. "Let’s stay in touch" is not a next step.

The plain-text version pastes cleanly into the notes field of most CRMs.

How to fill it in five minutes

  1. 1Before: Fill the header and write the three things you need to learn on this call as empty lines.
  2. 2During: Write pain in their words and every objection as it comes. Leave budget empty rather than guess.
  3. 3Before you hang up: Ask for the next step and a date out loud, and write it down while they say it.
  4. 4After: Send the follow-up email with your commitments the same day, then paste the notes into your CRM.

A filled example

Sales call — Northwind Logistics — 6 Oct 2026
On the call: Priya (ops lead), Tom (finance) / Ana
Stage: discovery

Needs and pain: "We re-type every carrier invoice by hand. Two people, three days a month."
Objections: Worried about setup time — showed the import; Tom still unsure. Open.
Budget: approved for this year, amount not said.
Decision makers: Tom signs; the CFO sees anything over a set amount.
Timeline: want it live before year end.
Competitors named: trialled one other tool, "too many clicks".
Commitments: We send a setup plan. They send three sample invoices.
What still blocks the deal: setup time, CFO sign-off.
Next step: demo with Tom on real invoices — Ana — 14 Oct

Let it fill itself

This is the same shape Trippi Notes uses for its Sales call summary. Trippi Notes listens to the meeting tab in Chrome — Google Meet, Zoom in the browser or Microsoft Teams in the browser — after one click on its icon, and writes the transcript with speaker names and times. After the call you pick the Sales call template and build the summary with one click. The template tells it to look for the customer’s needs and pain, objections and how each was answered, budget, decision makers, timeline, competitors and the next step with its date; decisions are commitments either side made, and open questions are what still blocks the deal. The result comes back in the usual parts — overview, decisions, tasks with owners, open questions — in your language, even if the call was in another one.

From there you copy it into this layout, export it as Markdown or plain text, or ask a question about the meeting and get quotes that jump to the moment. It also drafts the follow-up email, which you send from your own mail.

Summary templates other than the general one, and your own request, are part of the paid plans. It only hears calls in the browser, not desktop apps or phones. Nothing joins the call, so nobody sees a bot in the list of people. Tell them you are taking notes anyway — how to ask.

FAQ

Asked about this.

What should sales call notes include?+

Pain in the customer’s words, objections and your answers, budget, who decides, timeline, competitors, and the next step with a date.

Should I take notes during the call or after?+

During, but only the short lines above. Write the full notes within an hour, while you still remember the tone.

Is it fine to take notes on a sales call with a tool?+

Say so at the start. Most buyers are fine with it, and asking first builds trust.

What is the most common gap in sales notes?+

The next step without a date. The second is objections written down without the answer you gave.
