Are AI note takers safe? Seven questions to ask

Trippi Notes team · facts checked on 2026-10-17

“AI is listening to your meetings” is a headline, and also a fair description of what an AI note taker does. Whether that is safe depends on seven boring questions that most product pages do not answer. Ask them of any tool, including this one. Our answers are below each question.

1. Does something join the meeting?

A bot in the participant list is a second attendee with a recording. It can be left in the lobby, banned by an admin, and it tells everyone that the meeting is kept somewhere. A tool that listens to your own tab adds nobody to the call.

Trippi Notes: nothing joins. It hears the browser tab after your click. You still tell people you take notes: what to say.

2. Is the audio kept?

Audio is the most sensitive form of a meeting: voices, background, everything said in the first minute before people settle. Ask whether it is stored, where, and for how long.

Trippi Notes: no. Speech is turned into text as it is heard, and the audio is not stored. The text is what exists.

3. Who processes the speech and the summaries?

Most note takers send audio or text to a speech provider and a language model. The honest answer names them.

Trippi Notes: named in the privacy policy, with what each one receives.

4. What is stored, and for how long?

A transcript kept forever by default is a liability. Look for a retention period you can change and a way to turn storage off.

Trippi Notes: the transcript, summary and tasks are stored in your journal for 90 days by default; choose 30, 90, 180 or 365. Turn the archive off and nothing is kept on our server after the meeting.

5. Who can see it?

You, your team, your admin, the vendor’s support? A link that anyone can open is a share, not a backup.

Trippi Notes: you. On a team plan, the team members the meeting is shared with. A read-only link exists only if you create it. Keeping notes to yourself.

6. Can you delete it?

One meeting, all meetings, your account. Check that deletion is yours to do, not a request to support.

Trippi Notes: delete one meeting or all from the journal; the server copy goes first, then the browser copy.

7. Is it legal where you are?

Recording and transcription laws differ by country and by state, and workplaces add their own rules. The safe habit is the same everywhere: tell people, and stop if someone objects.

Trippi Notes: how to ask, and where note takers are banned or restricted.

FAQ

Asked about this.

Is an AI note taker a security risk for my company?+

It can be, if audio is kept, access is wide, or a bot can be invited by anyone. Ask the seven questions above and read the policy.

Can my employer see my Trippi Notes journal?+

Not unless you are on a team plan and share the meeting with the team.

Does Trippi Notes train models on my meetings?+

No. See the privacy policy for what each processor receives and for how long.

What happens to my data if I uninstall?+

The browser copy goes with the extension. The server copy stays for the retention period unless you delete it first; the journal is reachable from the account page.
