The recap email after a meeting, in five minutes
Trippi Notes team · facts checked on 2026-10-17
A recap email is not minutes. Minutes are the record; the recap is the reminder: what we decided, what each of us does next, and when. It is short, it goes out the same day, and it is the email people actually read. Which is why it is worth getting right, and why it should not take an hour.
What a recap email contains
- 1One line of thanks and context. “Thanks for the time today on the autumn release.”
- 2Decisions. One line each, past tense.
- 3Action items. Who, what, by when. One line each.
- 4Open questions. Only the ones someone has to answer.
- 5Next step. The next meeting or the next deliverable, with a date.
Leave out the discussion. If people want the full story, link the meeting notes.

Written for you, from the meeting
In Trippi Notes the recap is written from the summary and the tasks you accepted, so the names and dates are the ones from the call. The attendees are already in To; an address you add to a name is remembered for the next meeting. Tick or untick decisions, open questions and tasks, choose neutral, warm or formal, choose the language, and change anything in words: “shorter, and mention the demo is on Thursday”.
If the summary or the tasks change after the email was written, the page says so and offers to update it. How the draft works.
Sending from Trippi Notes is part of the paid plans and goes to people from the meeting or from your contacts, in your name, with replies to you. Copying the email or opening it in Gmail, Outlook or your mail app works on every plan and for any address.
How to start
- 1Build the summary. After the call, the summary has decisions, open questions and action items. The email is written from it.
- 2Write the email. Pick the tone and language, tick what goes in, and the draft appears with the attendees already in To.
- 3Read, adjust, send. Change it in words (“shorter, drop the budget point”), then send from Trippi Notes or open it in your mail.
What Trippi Notes does with the recap
Writes it from the meeting itself, with attendees in To, three tones, any language, editable in words; sends it in your name with a delay you can cancel, or hands it to your mail app. It does not send to people who were not in the meeting or in your contacts, and it does not send anything without your click or your rule.
FAQ
Asked about this.
Recap email or minutes?+
Both, for different readers. Minutes are the record; the recap is the reminder. Trippi Notes writes both from the same transcript.
How long should a recap be?+
Under 150 words. If it needs more, link the notes.
Can it write the recap in another language?+
Yes. Pick the language of the email; the meeting can be in any language.
Does it send automatically?+
Only if you set the rule “prepare and send” after meetings, and then you get a warning email with a cancel link before it goes.
