Emails after the meeting

Sending meeting notes to attendees, the same day

Trippi Notes team · facts checked on 2026-10-17

Meeting notes that are sent the next morning are read by nobody; the decisions have already been re-decided in chat. Notes sent within the hour are read, and they settle what was agreed. So the question “how do I send out meeting notes” is mostly “how do I do it fast enough”.

What to send

  • Not the transcript. Nobody reads two thousand lines. Send the summary; link the transcript for the one person who wants it.
  • The summary, short. Decisions, action items with owners and dates, open questions. That is the whole email.
  • One subject line. “Notes: Atlas planning, 14 Oct”. People search their inbox for it later.

Send it from the meeting page

  1. 1Build the summary. Pick the template; read it; accept the tasks.
  2. 2Write the email. The attendees are in To. Add an address to a name once; it is remembered.
  3. 3Send, or hold. Now, or in 10 to 180 minutes with a cancel button, from Trippi Notes in your name. Or open it in Gmail, Outlook or your mail app.

A copy to yourself is one tick. A read-only link to the meeting page is another, if you created the link and you want attendees to read the full notes.

Sending from Trippi Notes is part of the paid plans and goes to people from the meeting or from your contacts, in your name, with replies to you. Copying the email or opening it in Gmail, Outlook or your mail app works on every plan and for any address.

Make it happen every time

Set the rule “prepare and send” and the notes go to attendees after every meeting, with a warning email to you first and a cancel link in it. Choose a delay long enough to read the draft. Skip the meeting types that should not get notes; one-on-ones and interviews are skipped by default. How the rule works.

Sharing without email

  • A read-only link. Anyone with the link reads the meeting page. Create it only when you want that; it needs the archive on.
  • Markdown or plain text. Copy the summary into the team chat or wiki.
  • Team plans. Team members with access see the meeting without any sending.

How to start

  1. 1Build the summary. After the call, the summary has decisions, open questions and action items. The email is written from it.
  2. 2Write the email. Pick the tone and language, tick what goes in, and the draft appears with the attendees already in To.
  3. 3Read, adjust, send. Change it in words (“shorter, drop the budget point”), then send from Trippi Notes or open it in your mail.

What Trippi Notes does when you send notes

Writes the email from the summary with attendees in To, sends it in your name with a cancel window on paid plans, or opens your mail app with it on every plan; keeps a list of what was sent; and can do it by rule after every meeting with a warning first. It sends only to people from the meeting or your contacts.
