“Transcript not available” in Teams: what it means and what to do
Trippi Notes team · facts checked on 2026-10-17
You open the meeting after the call, click Recap, and Teams says there is no transcript. Or the transcript button in the meeting is grey. It is not a bug most of the time: transcription in Teams is a permission, and it belongs to the organizer and the company admin, not to you.
Why Teams shows no transcript
- Nobody started it. A Teams transcript exists only if the organizer or a co-organizer started transcription (or recording) during the meeting. If they did not, there is nothing to download.
- The admin policy is off. Company admins can switch transcription off for everyone or for some people. Then the button is missing for the organizer too.
- You are from another company. A guest from another tenant cannot see or download the transcript after the meeting, even when it exists.
- The meeting was a channel or an instant call. Some meeting types do not keep a recap at all.
The exact rules, with the links to Microsoft’s own pages, are on Teams transcript: who gets it and how.
What you can ask for
If you need the file, ask the organizer to download it: Chat → the meeting → Recap → Transcript → Download, as .docx or .vtt. If the organizer never turned it on, there is nothing to ask for. For the next call, ask them to start transcription when the meeting begins.
Your own transcript, without permission from anyone
A participant does not need the organizer to get a transcript. Trippi Notes listens to the Teams tab in your browser, after your click, and writes each line with the speaker’s name while the call is on. It is your transcript in your browser, and it does not depend on the policy, the tenant, or whether anyone remembered to press the button.
Open the Teams meeting in Chrome (choose “Continue on this browser” instead of the app), click the icon, and read along. After the call: a summary, tasks and a follow-up draft. Tell people you are taking notes; a sentence at the start is enough. What to say.
Teams in the browser, not the app
Trippi Notes hears a browser tab. The Teams desktop app is not a tab, so join from Chrome. The browser version of Teams has what you need for a normal meeting: audio, video, screen share, chat.
How to start
- 1Open the call in Chrome. Google Meet, Zoom in the browser, or Teams in the browser.
- 2Click the Trippi Notes icon. From that click it hears the meeting tab and your microphone, and writes each line with the speaker’s name.
- 3Read along, or read it after. The lines appear as people speak. After the call you get a summary, tasks and a follow-up draft.
What you get on a Teams call
A live transcript with names and times, in 68 languages, with an optional translation line under each line. Your microphone is included. A summary by template, tasks with owners, a follow-up email draft, and a journal with search. Nothing joins the meeting, and the audio is not kept.
