ChatGPT prompts for meeting notes that actually work

ChatGPT is good at meeting notes when you give it two things: the full transcript and a clear shape for the answer. Most bad summaries come from a vague prompt or a transcript without names. Here are seven prompts we use, and where to get a transcript with names.
How to use these prompts
- 1Get a transcript with names. Download it from Teams, Zoom or Meet, or take it with Trippi Notes from your browser tab.
- 2Open a new chat. One meeting per chat, so details from another call do not leak in.
- 3Paste the transcript, then the prompt. Paste the whole transcript first and the prompt from this page under it.
- 4Check before you send. Read the result against the quotes. Fix names, dates and anything marked “not said”.
Each prompt says “only use what is in the transcript”. Keep that line. Without it, the model fills gaps with tasks and dates that sound right and were never said.
Seven prompts to copy
1. Minutes
The standard: decisions, tasks, open questions. The “not said” rule stops the model from making up owners and dates.
Here is a meeting transcript with speaker names. Write the minutes in English. Sections: Decisions, Action items (task, owner, due date), Open questions. Only use what is in the transcript. If an owner or date is not said, write "not said". Keep each line under 20 words.
2. Action items only
When you only need the to-do list. The quote lets you check each task in seconds.
List every task someone agreed to do in this transcript. Format: owner | task | due date | the exact quote where they agreed. Do not include ideas nobody took.
3. Follow-up email
A draft you edit and send yourself, the same day.
Write a short follow-up email to the participants of this meeting. Thank them in one line, list decisions and next steps with owners, ask one open question. Under 150 words. Plain, friendly tone.
4. What did I miss?
For the call you joined late. Change the time to yours.
I joined this meeting at 10:20. Summarize what happened before that in 5 bullets, and tell me if anything was asked of me.
5. Minutes in another language
For a call held in one language when the minutes must be in another. Change the languages to yours.
The meeting was in Spanish. Write the minutes in English. Keep names and numbers exactly as said. Add the original quote for each decision.
6. Disagreements
Useful before the next meeting on the same topic.
Find the points where people disagreed. For each: who held which view, and was it resolved?
7. Ask one question
The fastest way to check one fact without reading the whole call.
Answer only from the transcript: what did we decide about the price? Quote the lines you used.

Where the transcript comes from
Prompts do nothing without a good transcript, and “good” means a name on every line. The built-in transcripts of Teams, Zoom and Google Meet belong to the organizer: someone has to turn them on, and often only the organizer can download the file. If you were a guest, you may not get one at all.

Make the answers better
- One meeting per chat. Mixing calls in one chat is the most common reason for a task that belongs to a different meeting.
- Ask for quotes. A quote next to each decision or task lets you check it in seconds, and makes invented items easy to spot.
- Say who you are. Add “I am Ana” to prompt 2 or 4, and the model can tell you which tasks are yours.
- Long meeting? Split the ask, not the transcript. Ask for decisions first, then tasks, then the email, in the same chat. Each answer stays short and checkable.
- Keep the language rule. If the call was in one language and the minutes must be in another, say both, as in prompt 5. Names and numbers stay as said.
Before you paste a meeting
A meeting transcript can hold client names, prices and plans. Check your company rules first. In ChatGPT, the setting “Improve the model for everyone” under Settings → Data controls decides whether new chats may be used to train OpenAI models (OpenAI help: data controls). Your company’s ChatGPT plan may have its own rules, so ask your admin.

Is it safe to paste a meeting into ChatGPT?+
It depends on your company rules and your ChatGPT settings. Ask before you paste anything confidential, and check Settings → Data controls in ChatGPT.
Why does ChatGPT invent tasks?+
It fills gaps. Say “only use what is in the transcript” and ask for the quote next to each task. Tasks without a quote are the ones to check.
Can ChatGPT write minutes in English from a call in another language?+
Yes. Say both languages, as in prompt 5, and ask it to keep names and numbers exactly as said. Trippi Notes can also give you the transcript with a translation line under each line.
Do these prompts work in Claude or Gemini?+
