Project meeting notes with the decisions and the tasks attached

Trippi Notes team · facts checked on 2026-10-17

A project is a chain of meetings, and the project manager is the one who has to remember all of them. Which meeting moved the date? Who agreed to the scope change? Where was the risk first mentioned? If every meeting is written, with names and times, the chain has a record, and the record answers.

Every meeting in the same shape

Kickoff, status, planning, retro: each one gets a summary with decisions, action items with owners and dates, and open questions. The retrospective template sorts what went well, what did not, and what to change, with an owner for each change. The kickoff template and the retro template show the fields.

Tasks that reach the board

“I will update the timeline”, “we need to check with legal”: draft tasks from the transcript, with the quote. Accept them, and they go to Jira, Asana or Linear with the quote and a link to the meeting, by hand or automatically after every meeting. The person who opens the ticket sees why it exists. Action items and trackers.

The status update, from the meetings

Atlas, week of 13 October
On track: export feature passed QA (Thu stand-up).
At risk: legal review of new terms has no owner (Wed client call).
Decision needed: extra QA week costs one sprint of the mobile backlog (Tue planning).
Next milestone: release, 14 Oct.

Pick the week, ask “project status”, read, send. “What changed between meetings?” shows the date that moved and the scope that grew, with the lines where it happened. Weekly report.

Stakeholders and vendors

External calls are where bots get stuck in lobbies and where guests get no transcript. Trippi Notes works from your browser whether or not you are the host, and a call with a vendor in another language gets a translation line. The follow-up email to the stakeholder is written from the summary with their words in it.

How to start

  1. 1Open the call in Chrome. Google Meet, Zoom in the browser, or Microsoft Teams in the browser.
  2. 2Click the Trippi Notes icon. It hears the meeting tab and your microphone and writes each line with the speaker’s name.
  3. 3Pick the template after the call. The summary follows the template; tasks and the follow-up email come from it.

What Trippi Notes does for a project manager

Writes every project meeting live with names, summarizes by template, sends tasks to Jira, Asana or Linear with the quote, writes the status update from a week of meetings, and emails the recap to attendees in your name. No bot, no audio kept, browser only.
