A meeting action item tracker that fills itself
Trippi Notes team · facts checked on 2026-10-17
The action item tracker template is a spreadsheet with four columns: task, owner, date, status. It works until the third week, when nobody fills it in. The fix is not a better template. It is a tracker that gets its rows from the meetings, so filling it in is accepting, not typing.
The columns, filled from the call
| Column | Where it comes from |
|---|---|
| Task | The sentence in the transcript, shortened |
| Owner | Who said “I will”, or who was named |
| Due date | The date said, or none, with a date picker to add one |
| Status | Draft, accepted, done; you change it |
| Author | The transcript, or the person who typed it |
| Quote | The line, with a jump to the moment |
Views
- This meeting. The tasks of one meeting, on its page.
- Mine. Everything with your name on it, across every meeting.
- The series. Last week’s open tasks at the top of this week’s meeting of the same name.
- A period. Ask “action item list for the last 30 days” and get the list with quotes, grouped by person.
Keeping it honest
Tasks from the transcript are drafts until accepted, so the tracker does not fill with noise. A deleted task stays deleted when the summary is rebuilt. Copy the list as Markdown or plain text for a status email, or send the tasks to Jira, Asana or Linear when they need sprints and reminders.
If you still want the template
A plain tracker for meetings without Trippi Notes:
- Task: one line, starts with a verb.
- Owner: one person, never “the team”.
- Due: a date, not “next week”.
- Status: open, done, dropped, with a date for done.
- Source: which meeting, which minute.
That last column is the one nobody keeps by hand, and the one that settles every argument.
How to start
- 1Open the call in Chrome. Google Meet, Zoom in the browser, or Teams in the browser.
- 2Click the Trippi Notes icon. It writes the transcript with names while the call is on.
- 3Accept the tasks after the call. Drafts come from what people said. Accept, edit or drop each one, then send them to your tracker.
What the tracker in Trippi Notes is, and is not
A list of tasks born in your meetings, with owner, date, status, author and quote; filtered to yours; carried across a series. It is not a project tool: no sprints, no reminders, no assignments to people outside your meetings. For that, send the tasks to a tracker.
